What gets built, in what order, and what it costs.

You have seen the map. This page is the rest: the six pieces that ship, the order they get built in, what Meta charges on your own card, and the parts I am deliberately not promising.

The task bot

An admin writes the task in plain words in a private chat. The bot reads department, owner and deadline, confirms the card, and posts it in the right group.

The reminder engine

Countdown reminders in the group at times you set, overdue nudges every hour, escalation to the admin and then the department head when nobody replies.

Meeting schedules

Meeting, time, place. Posted to the group, reminded the day before and one hour before. Daily digest of open tasks each morning and evening.

Department groups

One group per department, created by the bot, up to 7 people plus the bot in each. Members join by invite link. Only the admins you name can assign.

Management dashboard

Every task logged with owner, deadline, close time and reminder count. Overdue list, filters per person and department, meetings calendar, CSV export. Browser logins for the managers you name.

Your own Meta account, set up

Meta Business Portfolio in the hotel's name, number registered on the WhatsApp Business Platform, business verification, Official Business Account application, message templates written and submitted.

What runs on your card, not mine

One thing is usage-based, so Meta bills it to the card on your own Meta account. I do not mark it up and I never hold your money for it.

Every message the bot posts in a group is a utility template. Meta's UAE utility rate is about USD 0.015, roughly 5 to 6 fils per message. Replies from your staff cost nothing. You see the exact bill Meta issues.

The 30 tasks a day is a placeholder so you can size it. Replace it with your real daily count and multiply by AED 0.28. Reminder timings are yours to set; fewer reminders, fewer messages.

How it gets built

In this order, because each step needs the one above it. Steps one and two depend on you. Step one and step four run partly on Meta's clock.

  1. Meta Business account, number, verification

    A new Meta Business Portfolio in the hotel's name. A new SIM registered on the WhatsApp Business Platform. Business verification against the trade licence, then the Official Business Account application that groups require. Done when the number shows as connected in your portfolio.

  2. Departments, members, admins

    You send the list: group names, up to 7 numbers in each, and which numbers may assign tasks. Done when every seat in every group has a name and a number.

  3. Bot built and tested

    Task parsing, reminder engine, replies, escalation, digests, meetings. I test on a private group first. Done when a full task runs end to end without me touching it.

  4. Templates submitted to Meta

    Group posts and reminders are Meta message templates. I write and submit them while step three is running, because approval takes its own time. Rejections get rewritten and resubmitted at no charge.

  5. Dashboard and logins

    Task log, overdue view, filters, meetings calendar, export. Done when your managers can log in and see the test tasks.

  6. Pilot with one department

    One week, one group, real tasks. Housekeeping is the usual choice. We tune reminder timings and wording. Done when the head of that department says it works.

  7. All groups live

    Remaining groups created, members invited, admins trained on a 30 minute call. I watch the first days of real tasks and adjust.

Meta's per-message charges, straight to the card on your Meta account.

The number, the Meta account, the groups and the task data are the hotel's. My access is a partner role you can remove any day.
After day 60
Ongoing support is optional and quoted separately. Nothing renews on its own.

What I am not promising

  • Posting into your existing WhatsApp groups. Meta does not allow a business number to post into a group it did not create. That is why the plan creates fresh department groups and invites people by link.
  • Groups larger than 8 people. Meta's cap, bot included. The design works at supervisor level on purpose, and it keeps every group readable.
  • Buttons inside groups. Meta does not support them in group messages. Staff reply with one word, which the bot reads. Buttons still work in the admin's private chat.
  • Meta's timelines. Business verification, the Official Business Account and template approval run on Meta's clock. The three-week build clock starts when the number is live, not before.
  • Free messages. Every message the bot posts is charged by Meta at the utility rate. Small, never zero, and on your own bill so you can see it.
  • That the task gets done. The bot assigns, reminds, escalates and records. It does not clean the room. What changes is that nothing is forgotten and every delay is visible to management.
